Job Title: Planning and Zoning Coordinator

Purpose of Job:

The Planning & Zoning Coordinator provides administrative support and office management duties to the Planning and Zoning Department and Housing and Social Services Department. Acts as administrative assistant to the Director by independently planning, initiating, and executing various administrative duties. Assists others in the Planning and Zoning department with daily tasks.

Main Duties and Responsibilities:

Responsible for coordinating the functions of the Planning and Community Development Department. This includes, customer service, records keeping, scheduling meetings, prepare and maintain budgets, purchasing, application processing, and other organizational needs.

Prepares budgets for and manages purchasing, public hearing documents, and other assistance for the Housing and Social Services Department.

Manage the Local Planning Agency meetings. This includes scheduling, communications, meeting documents, meeting minutes.

Responsible for reviewing applications for completeness, input payments and prepare electronic and paper folders for each application. Input application information in to the Trakit program.

Distributes applications to applicable staff reviewers and coordinates application reviews and deadlines, updates the department project list. Interacts with applicants and/or applicants’ agents regarding status and scheduling meetings.

Organizes and maintains electronic and paper records for the Planning and Zoning Department in accordance with the

Sunshine Law and State of Florida records retention requirements.

Prepares Public Hearing advertisements and correspondence per the requirements of state statute and local Code of

Ordinances this includes drafting resolutions, ordinances, newspaper advertisements, letters to surrounding land owners, and signs to be posted on the property.

Assesses and processes Business Tax Applications and Food Truck registration.

Organizes and posts agenda items, staff reports, and supporting documents for Local Planning Agency, Board of County

Commissioners, and other public meetings on the county website, iCompass meeting management software, or other required locations.

Research, compiles, and prepares documents for public records requests.

Updates the Planning and Zoning page, Calendar, and other areas of the website in coordination with IT.

Attends and assists at public hearings and other meetings which may occur outside of standard work hours.

Performs all clerical/administrative duties of the department including drafting contracts, creating reports, submitting documents for state review, invoicing payments, organizing department files, and other similar tasks.

Performs other duties as assigned.

Knowledge, Skills, Abilities and Competencies Required:

Ability to effectively communicate both verbally and in writing.

Ability to perform basic mathematical calculations

Ability to establish and maintain effective working relationships and communications with co-workers and the public. Skilled in effectively dealing with challenging customers.

Ability to organize work, establish priorities, meet established deadlines, and follow up on assignments with a minimum of direction.

Ability to operate a PC with Microsoft office software including PowerPoint and Excel programs.

Familiarity with GIS and TRAKiT preferred.

Bilingual in Spanish and English preferred.

Secondary Duties and Responsibilities:

Responds to work during a declared state of disaster.

Education:

High School Diploma and two (2) years’ experience in direct customer service and one (1) year experience in office management. Requires Florida Driver’s License with acceptable driving record.

Hours of Work

640 South Main St. LaBelle

Monday – Friday 8:00 am to 5:00 pm, some Saturdays and Evenings will be required as assigned.

Starting Pay:

$20.00 per hour. Pay depends on skills and qualifications.

This is a full-time position that includes County medical benefits and State Retirement.
